Commercial HVAC maintenance | Arctic Cooling

Commercial HVAC maintenance and PPM contracts across Heathrow, West London and the M4 corridor. Same-day call-out for all clients, up to 24/7 on contract. Talk to us.

Maintenance and service contracts

Planned maintenance is the cheapest way to keep commercial plant running. A failed compressor on a Monday morning costs far more than the visits that would have caught it. Our commercial HVAC maintenance contracts service air conditioning, refrigeration, ventilation, chillers, air handling units and mechanical systems across Heathrow, West London and the M4 corridor, finding faults while they’re still small and keeping your manufacturer warranties intact.

We’re an F-Gas certified contractor with approaching 40 engineers, and we self-deliver every trade in-house. That matters for maintenance more than anywhere else: when one contractor holds your whole plant list, there’s no argument over whose kit failed and no gap between trades. We hold airside clearance at Heathrow, Gatwick and Stansted in our own name. If we can keep equipment running through a live airport’s constraints, we can keep yours running.

What a maintenance contract gives you

An air conditioning maintenance contract is a fixed schedule of visits planned around your site, not an invoice you only see when something breaks. Here’s what’s in it.

Scheduled PPM visits. Planned preventative maintenance with visit frequency set by the type of kit and how hard it works, not a generic timetable. You get a service record for each asset, which is what your insurer and your warranty provider want to see.

Faster reactive response. Every client gets same-day reactive call-out. On a contract, that response gets quicker and can go up to 24/7 cover, set around how critical your site is.

Warranty protection. Manufacturers require documented regular servicing to keep their cover valid. Skip it and a warranty claim can be refused. Our maintenance keeps that paper trail current. As a Daikin D1 installer, the highest tier Daikin runs, we can support extended warranties on Daikin equipment.

One contractor across all your plant. Air conditioning, refrigeration, plumbing, electrical, ventilation, chillers and catering equipment on a single contract, one point of contact, one asset list.

Same-day when you need us

Reactive cover isn’t a perk we hold back for contract clients. Every client we work with gets same-day reactive call-out. What a contract changes is the speed and the guarantee: we already hold your asset list, we know your site, and your response time is agreed in writing rather than fitted in around everyone else. For sites where downtime stops trading or breaches compliance, we set tighter cover, up to 24/7. If you have a live breakdown right now, see our emergency call-out page.

We’re based around Heathrow, so West London and the Thames Valley (Hounslow, Slough, Staines, Uxbridge, the M4/M25 corridor) is where we respond fastest. We cover the whole of across Heathrow, West London and the M4 corridor including Gatwick and Stansted, where our airside clearance gives us the same access we have at Heathrow.

What we maintain

Commercial air conditioning maintenance covers more than splits and cassettes. We look after the full range of plant that keeps a building running.

Air conditioning and VRF

Split systems, multi-splits, VRF and VRV. Filter cleaning, coil checks, refrigerant and F-Gas leak checks, controls and drainage. More detail on our commercial air conditioning page.

Refrigeration and cold rooms

Cold rooms, walk-ins, cellar cooling and process refrigeration, where a failure means stock loss on top of downtime. Our refrigeration service covers servicing and repair on the same contract.

Chillers

Chiller maintenance is where planned servicing pays back hardest, because a chiller failure usually takes a whole building’s cooling with it. We service and repair air-cooled and water-cooled chillers, checking refrigerant charge, pressures, pumps, controls and water quality on a schedule matched to the plant.

Plumbing

Pumps, pipework, tanks and the water systems that feed your mechanical plant, maintained on the same visit as the rest of your building rather than passed to a separate contractor.

Electrical

Electrical maintenance and testing on commercial premises, covered under our NICEIC Approved Contractor status. One less trade split across a different supplier, a different invoice and a different call-out number.

AHUs and ventilation

Air handling units, supply and extract systems, belts, bearings, filters and dampers. See our mechanical and ventilation page for the full scope.

Catering equipment

Commercial kitchen refrigeration and catering plant, kept on the same maintenance schedule as the rest of your building.

Accredited to work on commercial sites

Facilities managers and main contractors want the paperwork in place before we’re allowed on site, so we hold it. We’re SafeContractor approved and hold Constructionline Gold, covering the health and safety and procurement checks most main contractors ask for. Our electrical work sits under NICEIC Approved Contractor status for commercial installations, and on the mechanical side we’re Daikin D1 and a Mitsubishi approved partner. Every engineer working on refrigerant is F-Gas certified.

How a contract works

We keep the setup simple.

Talk to us about a contract

Costs depend on how much plant you have, how critical it is and the response level you need, which is exactly why we survey before we quote rather than guess. If you want a straight answer on what a contract for your building would cost, get in touch and we’ll book a site survey.

Frequently asked questions

How often should commercial air conditioning be serviced?
Most commercial air conditioning should be serviced at least twice a year, and heavier-use or business-critical systems more often. The right frequency depends on the kit, how hard it runs and the environment it sits in, which is why we set visit frequency per asset when we build your PPM schedule rather than applying a blanket figure.
Yes. A unit can run while it slowly loses refrigerant, clogs its filters or drifts out of tolerance, which drives up running costs and ends in a breakdown. Regular servicing catches those faults early and is also what keeps your manufacturer warranty valid, so skipping it while everything looks fine is a false economy.
You risk breakdowns, higher energy bills, shorter equipment life and refused warranty claims, because manufacturers require documented servicing to honour their cover. F-Gas equipment also carries legal leak-check obligations. Planned maintenance is far cheaper than the reactive repairs and downtime that follow neglected plant.
It depends on your lease. Where the tenant has exclusive use of the equipment, maintenance usually falls to them; shared or landlord-owned plant is often the landlord’s or the managing agent’s responsibility, sometimes recharged through the service charge. Check the lease, and if it’s unclear we can help you scope who covers what before setting up a contract.
Yes. Any work involving fluorinated refrigerants must be carried out by F-Gas certified engineers, and it’s a legal requirement, not a preference. Arctic Cooling is an F-Gas certified contractor, so servicing, leak checks and refrigerant handling on your air conditioning and refrigeration are covered in-house.

Beyond Cooling — the wider Arctic Group

Arctic Cooling is the founding division of Arctic Group. Alongside us sit Arctic Scaffolding, Arctic Glazing and Arctic Fire — so where a project needs access built, a façade glazed or a fire compartment reinstated, it stays under one group, one set of accreditations and one point of
